1. Purpose
Ad-Duḥā is committed to upholding the Islamic values of justice, amānah, and reconciliation. This policy provides a clear, fair, and respectful process for raising concerns or appeals, ensuring that all matters are handled with dignity, transparency, and care.
This process exists to:
- Offer a safe and structured way for concerns to be raised
- Ensure issues are listened to and reviewed fairly
- Prevent misunderstandings from escalating
- Enable learning, correction, and reconciliation where appropriate
- Protect the rights and wellbeing of students, families, and staff
2. Scope
This policy applies to concerns or appeals relating to:
- Academic or educational decisions
- Behavioural or disciplinary matters
- Treatment or conduct by staff or volunteers
- General concerns of unfairness or harm
This process is not intended for:
- Anonymous allegations
- Public complaints on social media
- Matters already resolved unless new information has arisen
Safeguarding or serious allegations (e.g. abuse, serious misconduct) will bypass this process and be handled immediately in line with safeguarding procedures.
3. Principles of Conduct
All parties using this process are expected to:
- Act with honesty and sincerity
- Avoid exaggeration, assumptions, or unnecessary backbiting
- Maintain confidentiality
- Seek resolution and improvement rather than blame
- No external complaints or grievances should be pursued while the appeals process is ongoing.
- The right to pursue external action once the appeals process has concluded is valid
4. The Appeals & Reconciliation Process
Stage 1: Informal Resolution
Where possible, concerns should first be raised informally and respectfully with the relevant person (e.g. teacher or staff member) or a designated senior representative.
The aim at this stage is:
- Clarification of misunderstandings
- Early resolution
- Maintaining positive relationships
- All discussions must remain civil, respectful, and fact-based.
Many matters can be resolved at this stage through open communication.
Stage 2: Formal Written Appeal
If the concern is not resolved informally, a formal appeal may be submitted in writing within 14 days of the issue arising.
The appeal should include:
- Name and contact details
- A clear description of the concern
- Relevant dates and individuals involved
- The outcome being sought
All formal appeals will be acknowledged and reviewed within a reasonable timeframe.
Stage 3: Independent Review
If the matter remains unresolved, it may be referred to an independent review by a small panel that includes individuals not directly involved in the issue.
The panel may:
- Review relevant information
- Speak to involved parties if necessary
- Decide on an appropriate outcome
Possible outcomes include:
- Appeal upheld
- Appeal partially upheld
- Appeal not upheld
- Recommendation for reconciliation, apology, or policy review
The decision at this stage will be final.

5. Record Keeping & Confidentiality
All appeals will be documented and handled confidentially. Information will only be shared with those directly involved in resolving the matter.
